Privacy Policy

We’re committed to protecting your privacy and safeguarding the information we collect and hold about you lawfully.

How do we collect data about you?

Information you give us – We may collect personal information when we communicate with you by phone, email, text, letter or other methods.

Information we receive from other sources – If you have given written consent to the relevant organisation, the following organisations may share your personal information with us:

• RMBF
• Cameron Fund
• BMA Charities
• RMF
• SAMF
• Other relevant charities who we work in partnership with, to whom you have applied for financial assistance.

What type of data do we collect and why do we need it?

We will only hold and retain information about you which is specifically needed to deliver a money advice service to you. We collect information provided by the charity to whom you have applied for financial assistance or by the charities listed above about yourself and, where relevant, your partner and dependants. Data may relate to your contact information, date of birth, employment status, work, marital status and finances.

Except where permitted by law we will not collect sensitive personal data about you without your consent.

We will process your personal information, in accordance with applicable data laws, particularly for the following reasons:

• To provide you with comprehensive money advice based on full and accurate personal information.

• For our own internal administration and to keep a record of your relationship with us.

• To comply with applicable laws and regulations and to comply with the legal requirements of statutory agencies such as The Financial Ombudsman Service.

Will you pass my information to other organisations or individuals?

We will never sell or trade your personal data for the purposes of marketing. We will not pass your personal information to any third parties except in the circumstances set out below:

• If you have given your consent to the relevant charity to whom you have applied for financial assistance, we may share personal information with the following charities:
  • RMBF
  • Cameron Fund
  • BMA Charities
  • RMF
  • SAMF
  • Other relevant charities who we work in partnership with, to whom you have applied for financial assistance.
    

• When sharing personal information, we share only as much as is necessary in the circumstances.

• When we are required to do so by law or court order.

• Provided you have given your consent and with your full written agreement, we may, for example, write to a third party such as DWP, HMRC or a bank or other credit provider on your behalf.

• In circumstances where we consider there is serious risk to your safety or the safety of others, or where we believe you may be vulnerable to abuse, we reserve the right to provide data to the relevant authority for your protection or the protection of others.

How long will we keep information about you?

We keep data for as long as we consider that it is legitimately needed. For clients who have received advice we retain summary information and all other data is deleted after a maximum of six years.

How do you keep my information secure?

We make sure that there are appropriate measures in place to protect your personal details in terms of cyber security. Personal data is stored securely. Any paperwork is kept to a minimum, locked away when not in use and securely destroyed when no longer needed.

Can I request the information you hold about me?

If you wish to see information we hold about you, we will respond to a written request with evidence of ID, within 30 days, by providing paper copies of all documents. A copy of information will normally be provided free of charge except where the request is manifestly unfounded or excessive. We reserve the right to refuse to respond.
